- protect the security and integrity of our services and website.
We will only use your personal information for the purposes for which it was collected, or for purposes that are compatible with those originally explained to you.
Where possible, we use anonymised or aggregated information that does not identify individuals. This helps us understand how effective our programmes are, improve the support we provide, and demonstrate the impact of our work through reports, presentations, funding applications, research and other communications, without identifying the people who have taken part.
We will never use your identifiable personal information or individual wellbeing results in marketing or promotional materials without your separate, explicit permission.
If we ever wish to use your information for a significantly different purpose, we will explain this clearly and, where required, ask for your consent before doing so.
Further information about the legal basis for using your personal information can be found in the section “Our Legal Basis for Using Your Information.”
8. Our Legal Basis for Using Your Personal Information
Under UK data protection law, organisations must have a valid legal reason for collecting and using personal information.
Depending on the circumstances, Voluble Limited may rely on one or more of the following lawful bases:
Consent
Where you have given us your clear permission to collect and use your personal information. This includes situations such as completing one of our wellbeing quizzes, subscribing to our emails, or asking us to send you information or resources.
You can withdraw your consent at any time by contacting us. Withdrawing your consent will not affect the lawfulness of any processing carried out before your consent was withdrawn.
Contract
Where it is necessary for us to use your personal information to provide a service, programme, workshop, coaching session or other support that you have requested.
Legitimate Interests
In some circumstances, we may use your personal information where it is necessary for our legitimate interests. This may include improving our services, maintaining appropriate records, responding to enquiries, protecting our website and ensuring the safe and effective delivery of our services.
Where we rely on legitimate interests, we carefully balance our interests against your rights and freedoms and will only do so where we believe the impact on your privacy is proportionate, justified and does not override your rights.
Legal Obligations
We may also use or disclose personal information where we are required to do so by law or where it is necessary to comply with our legal or regulatory responsibilities.
Wellbeing Information (Special Category Data)
Some of the information we collect, particularly information relating to your wellbeing, mental health or emotional wellbeing, may be classed as special category data under UK data protection law.
Where required, we will only collect and use this information with your explicit consent or another lawful condition permitted under UK data protection law. We recognise that this information is particularly sensitive and take additional care to protect it.
Any permission you give us to use anonymised information to demonstrate the effectiveness of our services, or to use identifiable information in marketing or promotional materials, will always be requested separately and is entirely optional.
Safeguarding
In exceptional circumstances, where we have concerns about the safety or wellbeing of a child, young person or another individual, we may process or share relevant information where permitted or required by law and in accordance with our safeguarding responsibilities.
9. Wellbeing and Quiz Information
At Voluble Limited, wellbeing quizzes and assessments are designed to help people better understand themselves, monitor their progress and identify areas where additional support may be helpful. They are educational and informational tools and are not intended to diagnose any medical or mental health condition.
Further information about the types of wellbeing information we collect can be found in the section “Information We Collect.”
Some quizzes and assessments ask questions about your wellbeing, thoughts, feelings or experiences. The information you choose to share with us helps us provide appropriate feedback, resources and support.
If you choose to save your quiz results, or if you complete assessments as part of one of our programmes, we may use your results to help monitor your progress over time and evaluate the effectiveness of the support we provide.
Where possible, any information used to evaluate or demonstrate the effectiveness of our services will be anonymised or aggregated so that individuals cannot be identified.
We will never use your identifiable personal information, individual wellbeing results or personal stories in marketing or promotional materials without your separate, explicit permission.
Completing a wellbeing quiz or assessment is entirely voluntary. Where we ask for your consent to collect or store your wellbeing information, you are free to decline or withdraw that consent at any time.
If a quiz or assessment suggests that you may benefit from additional support, we may encourage you to speak with your GP or another suitably qualified healthcare professional. Our quizzes, assessments and programmes are designed to complement, not replace, appropriate professional advice or treatment.
In rare circumstances, if information you provide gives us serious concerns about your safety or the safety of another person, we may need to share relevant information with appropriate services where permitted or required by law. Further information can be found in the section “Our Legal Basis for Using Your Personal Information.”
For information about how long we keep quiz and assessment information, please see the section “Data Retention.”
10. Children and Young People
Voluble Limited is committed to supporting the wellbeing of children and young people in a safe, respectful and responsible way.
We believe that trust, respect and open communication are essential when working with children, young people and their families.
Many FUNKHEAD services, programmes and resources are designed specifically for children, teenagers and young adults. We recognise that young people have the same rights to privacy and respect as adults, while also recognising that parents, carers or other responsible adults may play an important role in supporting their wellbeing.
Where appropriate, we encourage children and young people to involve a parent or trusted adult in decisions about their wellbeing and participation in our services.
Where we collect personal information from children or young people, we do so in accordance with UK data protection law and take particular care to ensure that our communication is clear, age-appropriate and easy to understand.
Where a parent, carer or person with parental responsibility enrols a child or young person onto one of our programmes, we may collect and process the personal information needed to deliver the services requested.
The consent required for participation in our programmes may vary depending on the age of the young person, the nature of the service being provided and the circumstances of the referral. Further information will be provided as part of our programme-specific consent process.
Before a programme begins, we may ask the parent, carer and/or young person to read and agree to additional programme terms, consent forms or other documentation that explains how information will be collected, used and, where appropriate, shared during the programme.
Where appropriate, we may work with parents, carers, schools or other professionals involved in supporting a young person. We will always aim to respect the young person’s privacy while meeting our legal, professional and safeguarding responsibilities.
Children and young people have the same rights in relation to their personal information as adults. Further information can be found in the section “Your Rights.”
If you are a parent or carer providing information about a child or young person, please ensure you have the appropriate authority or permission to do so.
If we believe a child, young person or another individual may be at risk of harm, we may need to share relevant information with appropriate agencies or professionals where permitted or required by law. We will only do so when we believe it is necessary to help protect the safety or wellbeing of those involved.
11. Email Marketing
We only send marketing emails, newsletters or other promotional communications to people who have chosen to receive them.
You may choose to receive emails from us by:
- subscribing to one of our newsletters

If you unsubscribe from marketing emails, we may still contact you where necessary in relation to a programme you are participating in, an enquiry you have made, a purchase you have completed, or another administrative or legal matter.
We use MailerLite to manage our email communications. MailerLite processes personal information on our behalf in accordance with its own privacy and security standards.
We do not send unsolicited marketing emails and will never sell or share your email address with other organisations for their own marketing purposes.

13. Third-Party Providers
To help us deliver our services safely, securely and efficiently, we use carefully selected third-party providers to perform certain functions on our behalf.
